Medical conferences have their own rhythm. No stage effects, no confetti. There is a debate, there are positions, and there are people who make public health decisions every day. The photographic material has to reflect that. In late September 2023 I photographed Vaccine Forum 2023, the annual expert debate of the Polish National Program for Combating Infectious Diseases (OPZCI), which opens the flu vaccination season.

The event took place at Villa Foksal in Warsaw, in a glass pavilion overlooking the garden. For participants it is an intimate, elegant space. For a photographer it means large glass surfaces and natural light changing by the hour. Exposure needs constant attention, so the speakers do not sink against the bright garden. In the audience: experts, members of parliament, local government representatives and trade media. The program had several layers: a debate on the recommendations for the 2023/2024 season, guest presentations and an awards ceremony for institutions promoting vaccination.
Debate, awards and networking – three working modes
An expert debate is reportage work. Speakers at the microphones, arguments being exchanged, reactions in the room. Nobody gets posed for a photo in moments like these. You have to predict who will take the floor next and be ready earlier.
The awards ceremony is the moment when the photos simply have to be right. The statuette, the handshake, the happy winner. The scene lasts a few seconds and there is no second take. Add networking in the lobby, conversations over coffee and the details of the stage design, which is everything the organizer needs for coverage: PR, social media, a summary for partners and invitations to the next edition. This is what the work of an event photographer looks like in practice.
What I pay attention to at a medical conference
The gravity of the subject sets the frame. A debate about public health calls for photos that take the participants seriously. No accidental grimaces, no frames caught mid-gesture. Many public figures in a small space also means working discreetly, without stepping between the speaker and the room.
Branding matters. The organizer accounts for the visibility of the event and its partners, so walls, roll-ups and signage have to be in the material before anyone asks about them. At a medical conference there are also program materials: reports, brochures and publications that tell in a single frame what the event was about.
