Nothing at an event happens twice: the opening, the award ceremony or the group photo of the board won’t wait for the photographer to notice them. I work discreetly, but I know what’s on the agenda and I’m in position before those moments begin. I shoot with the photos’ life after the event in mind: social media, press communication, a wrap-up for partners and sponsors. Product launches, training sessions and workshops — how I approach each of them

At business conferences, I focus on speakers, audience reactions, key moments and partner visibility. Trade shows / industry expo need to show movement, attendee interest and active booths, because that’s what exhibitors care about. At launches, I take care of strong product shots and identification details that can also go into press releases – these images I can deliver faster if PR communications require it.

Corporate events, galas and team-building trips are all about excitement, atmosphere and touches that are important to the organizer – like award presentations and team interactions. On the other hand, I tell the story of trainings and workshops through participant involvement and practical work, which is great for marketing and recruitment materials. Thanks to my experience in working with PR agencies and large organizers, I know what to focus on in each situation – to make the photos not only pretty, but also useful for business.

WHAT’S INCLUDED

What my event photography offer includes

You will not find ready-made packages here. An event can last fifteen minutes or three days, fill one room or five stages, start in the morning or after dark. Two conferences with the same number of guests can call for completely different work, so I quote every event individually. The six things below, however, you always get, whatever the scale or budget.

Guaranteed number of photos

When I prepare your quote, we agree a guaranteed minimum number of photos you will receive after the event. It is a lower limit, not a cap. If more good material comes out of the day, you get all of it at no extra cost. There is no upper limit, because there is no reason for strong frames to sit on my hard drive. More important than the number, though, is the selection: choosing the best shots out of everything taken. Nobody has time to scroll through a thousand photos to find ten worth publishing. You receive material that is ready to use: no duplicates, no closed eyes, no frames nobody would ever pick anyway.

Your photos are safe

I arrive at every event with backup equipment, and my camera records each photo to two memory cards at once. If one card fails, not a single frame is lost. I keep a backup of the full material until you have received the finished photos. And that is not the end: I archive the selected photos for a minimum of 5 years. You can come back for them long after the event, for the next edition or a company anniversary. Clients have deleted their own gallery and recovered the photos from my archive.

Online photo gallery

You receive all the edited photos in an online gallery, in high resolution, ready to download and publish. The gallery is password-protected and has two permission levels, so you decide what the people you share the link with can see. You can also restrict access to specific people or block downloads. That comes in handy when the board needs to see the material before the rest of the company does.

Travel across Poland

Travel is included in the offer. Within 100 km of Warsaw, I come at no extra charge. Longer trips are possible too; for a longer journey the quote may include the cost of accommodation. Everything is clear before the event, not after it.

Fast turnaround

You receive the gallery of edited photos within 5 working days of the event. If the material needs to work sooner, I can edit part of the photos on site, alone or with a second photographer. Same-day or next-day editing can also be arranged.

Price guarantee

The amount in the offer is final. No additional costs appear during the event or after it. I prepare a detailed offer once you send me the details of your event: date, venue, hours and agenda. After you accept, we get to work without unnecessary paperwork. After the event, I email you an invoice with 23% VAT.

HOW IT WORKS

How we work together

Inquiry

Tell me what you are planning: the date, the hours, the type of event and the number of guests. If you have an agenda, send it over. It tells me when the awards ceremony happens and when the board gathers for a group photo. Let me know about special needs too, for example backstage photos or things that must not be photographed.

Quote

Within 48 hours you receive a quote tailored to your event. It covers everything: travel, photography, photo selection, editing and online delivery. If you need a second photographer or faster delivery of the photos, I include it right away. After you book, no additional costs appear.

Event

I am on site 30-45 minutes before the start. I check the room, the light and the stage, and set up my gear. Then I work on my own: I photograph the branding, the interiors, the decor and everything we agreed from the agenda. You focus on the event. If something changes along the way, a short word is enough.

Backing up the files

After the job I copy the files to a drive and immediately make a second copy on a separate drive. When conditions allow, a third copy goes to the cloud, often while the event is still running. Your photos are safe at every stage of the work.

Photo selection

An event brings back anywhere from a few hundred to a few thousand photos. I go through all of them and pick the best: I check focus, light and facial expressions. I photograph speakers and hosts from several angles, so you have a choice of frames for your promotional materials. For larger events I split the material into parts, for example conference, networking and workshops.

Photo editing

I usually edit 200-400 photos, more for larger events. I adjust each one individually: brightness, contrast, white balance and colors, so the whole set looks consistent. The result should work both for social media coverage and for promotional materials.

Photo delivery

The finished photos go to an online gallery in two sizes: full resolution and a smaller one prepared for publishing online. The gallery is password-protected, and your email address is the login. You can hide selected photos and share the gallery with other people. You get the link by email, and the gallery stays available for 60 days after publication. See an example gallery online.

Payment

Within 5 days of sending the photos I email you a VAT invoice at the 23% rate. If the contract includes a transfer of author’s economic rights under Polish copyright law, the 8% VAT rate applies, with a 14-day payment term. You can pay by BLIK, by instant or standard bank transfer, or by scanning a QR code with the transfer details already filled in.

Frequently asked questions

How much does event photography cost?

It depends on many factors. Coverage of a corporate event starts at a few hundred and goes up to several thousand PLN. You can get an exact quote within 48 hours by sending me an email or using the dedicated form, which lets me prepare a precise offer.

How many photos will I receive from my event?

The number of photos depends on the length of the event, the number of guests and the agenda. When you send me your enquiry, I will tell you the minimum number of photos I can guarantee. There is no upper limit, so you receive all the best photos with no extra charges.

When will I receive the photos?

I deliver the photos within 5 working days of the event. If you need them the same day or sooner, let me know when you ask about my availability.

Will I receive a VAT invoice?

Yes. I issue an invoice with 23% VAT for every service.

Do you also film video?

I focus on photography, because that is my speciality. If the event also needs a video, I put together a proven photo and video team, agree the scope and keep the material consistent. You have one point of contact; I handle the rest.

How will I receive the photos?

I upload the photos to a password-protected online gallery and email you the access details. You can download the photos in full resolution or even order prints. In the gallery you can hide photos and invite other guests yourself, without my involvement. The gallery stays available for 60 days after publication.
