A conference at a public institution has its own rhythm. Flags by the lectern, the national emblem above the entrance, protocol and a guest list that can’t be left out of the material. On top of that, a historic hall that is itself a subject of the photos.
In October 2024, I photographed the 30th anniversary of the legislative traineeship, an academic conference held by the Government Legislation Centre (RCL) in the Sala Pod Kopułą hall in Warsaw. The programme included an opening with a speech by the President of RCL, three talks, an expert panel on the legislator’s role, a diploma ceremony for traineeship graduates and refreshments.
What happened
I started before the guests arrived. The entrance staging, name badges on a black background, RCL publications on the table, the empty hall with the title screen. This material often gets left out of the gallery, and then turns out to be the most needed for invitations to the next edition.
The official part is work on several planes at once. A portrait of the speaker at the lectern, a wide shot of the dome with a full audience, reactions from the room. When flowers and diplomas are handed over, every second counts, because a moment like that happens once and no one will repeat it.
I photographed the expert panel from two sides: close to the stage to catch the exchange between the six panellists, and from the balcony to show the scale of the event. During the coffee break, networking shots and keepsake photos at the RCL photo wall were made.
What I paid attention to
At a public institution, I watch how people are portrayed. Participants away from the stage appear in flattering, neutral shots, and name badges legible in close-up show only the conference title, not personal data.
The client’s branding works in the background: the wall with the RCL logo, welcome bags, ribbons, publications. The organiser gets material that shows the host of the event before anyone has to ask for it.
Result
The client received an organised gallery of 586 photos in 9 agenda segments, plus a ready selection of the best shots. The service acceptance report was signed 5 days after the event. RCL published a report on the event on its website the same day.
